Description:

The Administrative officer would have a crucial role in supporting the coherent functioning of the Elementary and Secondary divisions in NOVA. This role would primarily support both division teams in drafting the school schedules and becoming a proficient user and support person for our school’s information and learning management systems. The role is envisioned as a support to the everyday administrative tasks and ensuring smooth operations, while handling time-sensitive and confidential tasks.

Duties and Responsibilities:

● Create schedules and timelines for both divisions in the school’s information system Alma; liaise with division principals in terms of scheduling classroom allocation and shared spaces
● Record and report accurate and timely information on Alma and the learning management systems SeeSaw and Managebac for current and prospective students
○ activate and deactivate student and teacher accounts
○ roll-over each new academic year; archive and duplicate coursework
○ link the timetable to the courses
● Create and coordinate room roster matrix based on the scheduling process
● Oversee the administration of the duty roster (arrival/dismissal/recess)
● Serve as the support person for the school’s information and learning management systems for parents
● Schedule division-specific meetings
● Support principals in assigning substitute teachers and coordinating the pool of substitute teachers
● Provide support in the implementation of the GDPR, Occupational Health and Safety, Archiving, and other pertinent administrative legislation
● Process contracts, invoices, and other incoming correspondences, as assistance to the administrative coordinator
● Process faculty and staff documentation as assistance to the HR Manager
● Act as a substitute for any of the administrative staff for mid to long-term absences

QUALIFICATIONS

Candidates we would consider a good match include:

● BA degree in a relevant field
● Previous administrative support experience of minimum 3 years
● Highly organized, with a minimum of C1 level of English language proficiency
● Proficient in technology usage, especially Google suite of products
● Demonstrate ability to handle confidential information sensitively and tactfully. Adhere to strict confidentiality involving staffing concerns, student matters, and internal/external correspondence
● Ability to plan, manage and follow through on assignments and communicate at all levels of the organization in a timely and professional manner
● Ability to work independently and as a member of a team with minimal supervision
